Terms and Conditions

The booking terms and conditions set out below and the general information on our website and in our brochures and all correspondence apply to all bookings with Simply Perfect Limited. Changes to the booking terms and conditions will only be valid if Simply Perfect Limited confirms in writing. 

1 Contract 

A binding contract is only entered into when Simply Perfect has received your payment of the deposit. 

2 Prices and Payment 

2.1 We will do our best to ensure that prices listed on our website, in our phone conversations and in our correspondence (such as proposals, emails and newsletters) are accurate. Prices are subject to change until full payment is received. 

2.2 The deposit payment is required at the time of booking. Final payments are required 30 days prior to your event date. 

2.3 Payments may be madeby either NZD cheque, telegraphic transfer, credit card (Visa or Mastercard) or cash. Note: credit card payments will attract a 3% service charge on all services.  Cheques should be made payable to Simply Perfect.  Any bank charges are for the account of the hirer.

NB: Please include your name and/or invoice number as a reference so as we may identify your payment.

2.4 Payments for elements that do not form part of your package with Simply Perfect Limited (such as flights, accommodation and travel insurance) will be made directly to the respective Agent and you will be bound by the Agents booking terms and conditions. 

3 Deposits

A 50% non-refundable deposit is required within 7 days of receiving your invoice to secure your chosen wedding date. Bookings are confirmed upon receipt of the initial deposit. In the event a deposit is not received within 7 days of receiving your invoice, the booking is deemed to have been abandoned.

Simply Perfect may invoice up to a 50% nonrefundable deposit for any and all services booked by Simply Perfect Limited in conjunction with any wedding package.  We recommend travel insurance to cover unforeseen circumstances resulting in cancellations.

4 Cancellation by you  

4.1 You may cancel your package at any time provided you confirm the cancellation in writing (either by letter or e-mail). 

4.2. Cancellations up to 8 months prior to your event will incur a 50% cancellation charge (of your total package price). Cancellations after this time will receive no refund. 

4.3 Should your wedding plans be affected by the COVID-19 pandemic, due to travel restrictions imposed by either the NZ government or the government of your home country, we will offer to reschedule your wedding to a later date – at no additional cost – within 12-18 months of your originally planned wedding date.

5 Alterations or Cancellations by us 

We start planning the events and packages we offer months in advance. Whilst we always endeavour to avoid making changes and cancellations we reserve the right to do so. Please note the options below are not available where any minor change is made. 

5.1 Significant alterations

We will notify you as soon as possible of significant alterations such as a change of venue or lower standard of service.  If travel has not commenced we will offer you the option for accepting the modification, changing the booking to an alternative package or cancelling and receiving a refund of payments made. If the modification is cheaper we will refund the difference or if it is more expensive you will be required to pay the difference. If travel has commenced we will take all reasonable steps to arrange suitable alternatives in consultation with you. 

5.2 Cancellations by us

In the rare event we would need to cancel your wedding package due to a circumstance beyond our control (excluding circumstances listed in Clause 5.3) we will offer a refund of all planning services made to date. If you do not make payments on time we reserve the right to cancel your package with no refunds of payments available.  

5.3 Circumstances beyond our control

Occasionally we may have to change or cancel your program as a result of factors outside our control or where we or any provider or operator could not foresee or avoid after taking all reasonable care. Examples are war or threat of war, riots, civil strife, terrorist activity, pandemics or fire. We cannot pay any compensation, expenses, losses or any amount or otherwise accept responsibility as a result of circumstances beyond our control. 

As per the clause 4.3, should your wedding be affected by the COVID-19 pandemic and you are unable to travel to Queenstown due to travel restrictions imposed by either the NZ government or the government of your home country, we will offer the option to reschedule your wedding date with us for a date within 12-18 months of the originally planned date – at no additional cost.

5.4 Refunds for services not utilised

We do our best to make sure connections and transfers and other package inclusions go smoothly but this may not always be possible due to flight cancellations, local political situations, weather, mechanical breakdown, or other unforeseen circumstances. Refunds for services not utilised will be made based on our local providers and operators policies and Simply Perfect will not be held liable for refunds or additional expenses.  

5.5 Final decision

In the event of any changes to your wedding package, Simply Perfect Limited will take all reasonable steps to arrange suitable alternatives. This will involve consultation with you but the final decision rests with Simply Perfect Limited.

6 Exchange Rates 

Prices are payable in New Zealand Dollars. We may provide you with prices in the currency of your country of residence for information purposes. These amounts should be used as a guide only as they are subject to change based on applicable exchange rates at time of payment. 

7 Travel Insurance 

Travel insurance for the duration of your trip should be purchased. This is an essential condition and we cannot be responsible for your costs if you fail to do so. You may be required to pay for medical and other insurance related costs upfront. It is your responsibility to have adequate monies such as cash, cheques or credit card facilities to cover these costs. 

8 Liability

8.1 General

As Simply Perfect Limited and its employees, representatives and agents act only as a booking agent no liability whatsoever is accepted for any aspect of the arrangements and, in particular, no liability is accepted for any accidents, loss, injury, sickness, death or damage you may suffer prior to, during or after any event. 

8.2 Outside Arrangements

Simply Perfect Limited is not responsible for any outside arrangements you may make before, during or after your event. This includes, but is not limited to any element booked in conjunction with your package with Simply Perfect Limited that we do not receive payment for (such as accommodations, flights and travel insurance) even in the case where Simply Perfect Limited has made a recommendation or referral. If at the end of your event with Simply Perfect Limited you continue to travel (even if organised in conjunction with a package) this will be an outside arrangement. 

8.3 Optional Activities

Optional and other activities may not be available at all times as these are managed by independent local operators. We have no control over their availability or prices. 

8.4 Travel Insurance

We accept no liability for the costs associated of you failing to take out adequate travel insurance prior to booking your event. 

8.5 Safety Management

While the review and updating of our Safety Management System is ongoing we accept no liability for its contents.

8.6 Financial Liability

Without limiting clauses 8.1 to 8.5 Simply Perfect Limited liability in respect of all other losses shall be limited to the invoiced value of the package.

8.7 Legal Jurisdiction

Your contract with Simply Perfect Limited is subject to New Zealand law and the exclusive jurisdiction of New Zealand Courts. 

9 Conditions of Local Service Providers and Operators 

Local service providers and operators provide services in accordance with their own terms and conditions and you will be bound by these terms and conditions. Some of these terms and conditions may limit or exclude their liability to you. Copies of the relevant parts of these terms and conditions are available. You may be required to read and accept the booking terms and conditions prior to your event.

10 General 
 
10.1 Marriage Licence (if applicable)

Simply Perfect will provide advice and assistance in regards to arranging a NZ Marriage Licence.  It is required by you to fill in the necessary forms and provide any evidence necessary to show you are legally eligible to get married in New Zealand, in a timely manner.  Simply Perfect will not be held responsible for any delayed or denied marriage licence and no fees will be refunded in such cases.

10.2 Documentation

You must ensure that you have all the necessary documentation to complete your journey including (but not limited to) drivers license, health certificate, visas and valid machine readable passport in good condition with adequate time to expiry. You should check requirements with relevant embassies if unsure. We recommend that you carry a photocopy of important documentation (such as passport, travel insurance and visa) in case the original is lost or stolen during the program. If you are unable to travel due to incomplete or incorrect travel documents there is very little we can do to help and you will also be responsible for all associated costs. 

10.3 Transportation

You must ensure that you arrive in good time to board flights and that you are ready on time for other transfers and forms of transport. We recommend that you confirm departure times with transport providers prior to travel. If you miss a transfer or the departure of a flight we will endeavour to provide assistance where possible and reserve the right to recover any additional costs that we incur as a result.  

10.4 Security and Safety

For packages based outside of New Zealand you must seek your own advice regarding safety and security. Before you travel you should obtain overseas travel advice, tips and up-to-date country information from relevant consulates and embassies.  

10.5 Credit Card Deposits and Extra Charges

You may be required to provide a credit card imprint during the planning process of your package.  No charges will be made to this card without prior approval of the card bearer.  Any extra charges beyond the original invoiced amount will be discussed with the client and agreed upon prior to payment. A 3% surcharge is applied to all credit card transactions to cover processing fees.

10.6 Special Requests

If you have special needs or requests such as dietary restrictions you must let us know at the time of booking. In the case where meals form a structured part of your package we will make every effort to ensure your requests are met and will pass this information on to our suppliers but no guarantee is given. 

10.7 Marketing

It is agreed by the bride and groom that photography shot at their wedding may be used by Simply Perfect for advertising purposes unless this sentence is deleted.

10.8 Insurance

Any personal items brought to the venue by the hirer or guests are at the sole risk of the hirer or guests. Simply Perfect will not be held responsible for any damage/removal of guest’s personal items during the function. The hirer accepts responsibility for any damage sustained to any property (buildings or otherwise) by the hirer’s guests.
