Over the past 15+ years, we’ve helped more than 700 couples plan weddings throughout Queenstown and Central Otago. Along the way, we’ve seen what works brilliantly, what causes unnecessary stress, and the little decisions that end up making the biggest difference.

Queenstown has no shortage of stunning venues, but the most beautiful venue isn’t necessarily the right venue for your wedding. Think about guest numbers, accessibility, wet weather options, transport options and the overall experience—not just the Instagram photos.
- Decide what matters most before you start spending.
Every couple has different priorities. For some it’s incredible food, for others it’s photography, live music or breathtaking florals. Decide early where you want to invest, and it becomes much easier to make confident decisions throughout the planning process.
- Don’t try to recreate someone else’s wedding.
Pinterest and Instagram are wonderful for inspiration, but your wedding should feel like your wedding—not a copy of someone else’s. The most memorable weddings are the ones that genuinely reflect the couple.
- Leave room in your budget for the unexpected.
Even with careful planning, there are always small costs that pop up along the way. A contingency fund of around 5–10% can save a lot of unnecessary stress later.
Queenstown Is Different
- Every season in Queenstown is beautiful.
Summer offers long evenings and vibrant colours. Autumn brings incredible golden landscapes. Winter delivers snow-capped mountains, while spring offers fresh greenery and blossoms.
There isn’t a “best” season—only the season that best suits the experience you want.
- Have a wet weather plan you’ll actually be happy with.
One of the biggest mistakes we see is treating the wet weather option as an afterthought. The reality is that weather is one of the few things none of us can control.
If your backup plan is somewhere you’re genuinely excited about, you’ll never spend the week before your wedding anxiously checking the forecast.
- Encourage guests to book accommodation early.
Queenstown is a popular destination year-round, and accommodation can fill quickly during peak periods and major events. Giving guests plenty of notice often saves them money and gives them more choice.
- Allow guests time to enjoy Queenstown.
One of the great things about a destination wedding is that it becomes more than just one day. Encourage guests to arrive a little early or stay an extra night if they can. They’ll appreciate having time to explore everything the region has to offer.
- Local knowledge is incredibly valuable.
Travel times, seasonal weather patterns, popular photo locations, supplier relationships and knowing how Queenstown operates all help create a smoother wedding day. Working with people who know the area inside and out makes a real difference.
Think About Your Guests
- Guests remember how your wedding felt more than how it looked.
Beautiful styling certainly creates an impact, but years later, guests are much more likely to remember the atmosphere, the laughter, the ceremony and the time they spent celebrating with you.
- Comfortable guests are happy guests.
Provide shade in summer, blankets in winter, enough seating during cocktail hour and easy transport home. Small thoughtful touches often have the biggest impact.
- Great food is almost always remembered.
Guests may not remember every styling detail, but they nearly always remember a fantastic meal and excellent service.
- A relaxed timeline creates a relaxed wedding.
Trying to squeeze too much into one day can leave everyone feeling rushed—especially you. Allow plenty of time to enjoy each part of your celebration rather than constantly watching the clock.
- Don’t underestimate transport.
Many Queenstown venues are spread throughout the region. Organising transport not only makes things easier for your guests but also helps everyone enjoy the celebration safely.
Spend Wisely
- Invest in photography (and videography if you can!).
After the flowers have faded and the cake has been eaten, your photographs become one of the few lasting reminders of your wedding day. Choose someone whose work you genuinely love.
- Spend where it creates memories.
Amazing food. Live music. A meaningful ceremony. These are the things guests continue talking about long after the wedding is over.
- You don’t need to upgrade everything.
Rather than trying to make every single detail luxurious, choose a few areas to really invest in. A handful of standout elements often create more impact than spreading your budget too thinly.
- Look for opportunities to reuse.
Ceremony flowers can often become reception flowers. Welcome signage can be repositioned. Styling elements can work in multiple spaces. Thoughtful planning helps your budget go further.
- Experience often saves money.
Experienced suppliers know how to avoid common pitfalls, solve problems quickly and help you make informed decisions. Sometimes the cheapest quote ends up costing more in the long run.
On the Wedding Day
- Your wedding day will go faster than you expect.
Almost every couple tells us afterwards that the day flew by. Build in quiet moments together where you can pause, take it all in and enjoy being newly married.
- Something small probably won’t go exactly to plan.
The flowers might arrive five minutes later than expected. The weather may change. Someone might forget their tie.
The wonderful thing is that your guests rarely notice the little things, and years later, neither will you.
- Trust the team you’ve chosen.
You selected your suppliers for a reason. Let them do what they do best so you can focus on enjoying one of the biggest days of your life.
- Don’t spend the entire reception working the room.
Of course you’ll want to spend time with your guests, but don’t forget to spend time with each other. Some of the most special memories happen when you’re simply enjoying the celebration together.
- At the end of the day, no one remembers how much you spent.
They remember how they felt.
They remember the laughter during speeches, the emotion during the ceremony, incredible food, breathtaking scenery and seeing two people they care about celebrating their love.

The weddings people remember aren’t necessarily the biggest, the most expensive or the most extravagant.

Focus on creating a day that feels like you. Surround yourself with people you love, choose suppliers you trust, and don’t get caught up chasing perfection (ironic coming from us, we know! 😉).
